Month-End Close Checklist for Indian CA Firms
By FynHelp Editorial Team, Month-end close for CA firms
A month-end close checklist for an Indian CA firm has five stages: collect every client's documents, read them into transactions, reconcile bank to books, clear the exceptions, and prepare and sign off the MIS. Each stage has a fixed owner and a date, and statutory payments for the month (TDS, GST, PF, ESI) are checked along the way.
Short answerA month-end close checklist for an Indian CA firm has five stages: collect every client's documents, read them into transactions, reconcile bank to books, clear the exceptions, and prepare and sign off the MIS. Each stage has a fixed owner and a date, and statutory payments for the month (TDS, GST, PF, ESI) are checked along the way.
Use this checklist per client, per month. It assumes the firm keeps or reviews the client's books in Tally or Zoho Books and sends a monthly MIS. Print it, put it in your practice tool, or copy it into a sheet; what matters is that every client goes through the same steps in the same order.
Stage 1: Collect documents (days 1 to 5)
- Bank statements for every account, for the full month, as PDF or Excel (not screenshots).
- Credit card statements, if the client's expenses run on cards.
- Sales register or invoices raised; purchase invoices received.
- Payment gateway settlement reports (Razorpay, PayU, Paytm) for online sellers.
- Payroll sheet and salary register, if payroll is processed.
- Loan statements for any EMI-paying loan.
- GSTR-2B for the month, once generated on the 14th of the following month.
Owner: the document chaser (a person or an automated follow-up). Done when: every item is received or the client has confirmed it does not exist this month.
Stage 2: Read documents into transactions (as they arrive)
- Bank lines extracted with date, narration, amount and balance; the closing balance matches the statement.
- Tally or Zoho export for the bank ledger taken for the same dates.
- GSTINs on invoices and registers checked for valid format and check digit.
- TDS deducted on vendor payments checked against the section's rate.
- Lines the extraction is unsure about reviewed by a person before use.
Check: opening balance plus credits minus debits equals the closing balance on the statement. If it does not, a page is missing.
Stage 3: Reconcile bank to books (same day as Stage 2)
- Exact matches on amount and date.
- Same-day matches where the narration differs.
- Close matches for small differences (bank charges netted, rounding) and dates a few days apart.
- Firm rules for recurring items: salary, rent, EMI, GST and TDS payments.
- Split payments: one receipt against several invoices.
Automated, this takes milliseconds per client; FynHelp's median is 72 ms per client-month in our tests. Manually, it is most of a junior's month-end. See the bank reconciliation automation guide for how each stage works.
Stage 4: Clear exceptions (days 5 to 8)
| Exception | Clear by |
|---|---|
| Bank charges and interest not in books | Booking them |
| Cheques issued, not presented | Listing as outstanding for next month |
| Returned cheque | Reversing the receipt in the books |
| Receipt in Suspense | Identifying the payer and rebooking |
| Possible duplicate | Removing the duplicate voucher or file |
| Amount differs | Booking the difference (TDS by customer, charges) |
Owner: junior or article assistant. Done when: the queue is empty or every remaining line has a note explaining why it is carried forward.
Stage 5: Statutory checks for the month
- TDS deducted in the month deposited by the 7th of the next month (30 April for March).
- GSTR-1 filed by the 11th and GSTR-3B by the 20th for monthly filers (QRMP filers follow quarterly dates).
- Input tax credit claimed in GSTR-3B limited to invoices that appear in GSTR-2B.
- PF and ESI contributions paid by the 15th.
- Advance tax instalments on 15 June, 15 September, 15 December and 15 March where applicable.
The bank statement is a useful cross-check: the GST, TDS, PF and ESI payments for the month should all appear on it.
Stage 6: MIS and sign-off (days 8 to 10)
- MIS drafted from matched transactions only; unmatched lines listed as left out.
- Revenue, expenses and net for the month, with comparison to the previous month.
- Loans, capital, GST and TDS payments shown separately, not as revenue or expense.
- Every figure traceable to the bank lines and vouchers behind it.
- Manager reviews; partner signs off; corrections go back to the team with a note.
- MIS sent to the client as a PDF or a read-only link.
FynHelp's Narrate agent drafts the MIS from matched lines with every number linked to its source, and only a partner can sign it off.
Why month-end slips, and the fix for each cause
| Cause | What it looks like | Fix |
|---|---|---|
| Late documents | Half the clients send statements after the 10th | Request on the 1st with a fixed list; follow up automatically on the 3rd and 6th; tell clients the MIS date depends on it |
| One person holds the status | "Ask Priya which clients are done" | One board per month showing each client's stage: waiting for documents, reconciling, needs attention, ready for review, signed |
| Reconciliation saved for the end | Juniors start matching on the 8th for every client at once | Reconcile each statement the day it arrives |
| Unclear exceptions | "Unmatched" with no reason, investigated from scratch | A reason code on every exception and the usual fix next to it |
| Corrections lost in chat | A partner's comment on WhatsApp never reaches the junior | Corrections recorded against the report, assigned, and blocking sign-off until marked done |
| Last month's MIS reissued after changes | A late voucher changes figures already sent | Flag reports whose data changed after sign-off and regenerate with a new version |
Running the checklist across 50 clients
The checklist above is per client. A firm needs the same view across the book: how many clients are waiting for documents, how many are reconciled with exceptions open, how many MIS reports are drafted but not signed. Review it every morning in the first ten days of the month. The clients at "waiting for documents" on the 6th are the ones that will miss the MIS date; call them, not the ones already in review.
Split the book by stage, not by person. A junior who clears exceptions for twenty clients works faster than one who does everything for five, because the decisions repeat: the same bank charges, the same EMI, the same GST payment narration.
The checklist as a table
| # | Step | Owner | By |
|---|---|---|---|
| 1 | Request documents | Chaser | 1st |
| 2 | Follow up for missing documents | Chaser | 3rd, 6th |
| 3 | Read statements and books | Software or junior | On arrival |
| 4 | Reconcile bank to books | Software or junior | On arrival |
| 5 | Clear exceptions | Junior | 8th |
| 6 | Statutory payments checked | Manager | 7th to 20th |
| 7 | Draft MIS | Software or manager | 9th |
| 8 | Partner review and sign-off | Partner | 10th |
FynHelp runs stages 1 to 4 and drafts stage 6 for every client, priced per client entity with unlimited users. See pricing, or try the full checklist on free sample files.
Frequently asked questions
How long should a month-end close take for one SME client?
With documents in on time and reconciliation automated, the work left is clearing exceptions and reviewing the MIS, usually under an hour per client. The longest delay is almost always waiting for documents, not the accounting itself.
When should the monthly MIS be sent?
Most firms aim for the 10th of the following month, after TDS is deposited on the 7th and before GSTR-1 on the 11th. A fixed date helps clients send documents on time.
Should the MIS include unreconciled transactions?
No. Figures built from unreconciled lines can change after the report goes out. Use matched transactions only and list what was left out, with the count, so the partner knows what is not yet in the numbers.
Who should sign off the month?
A partner. Juniors clear exceptions and managers review, but the sign-off on what goes to the client should be a partner's, recorded with the date.
